The categories of personal information we collect include, without limitation, the following: full legal name, email address, telephone number, and residential or business mailing address; company name, job title, industry, and business contact details for client representatives; payment and billing information, including credit card numbers, bank account details, and billing addresses, which are processed through PCI-compliant third-party payment processors and are not stored in unencrypted form on our servers; employment history, professional credentials, skills assessments, certifications, and resume or curriculum vitae materials submitted by applicants and contractors; government-issued identification numbers and taxpayer identification information required for contractor onboarding, payroll processing, and tax reporting compliance; bank account and routing information necessary to facilitate payroll disbursements to virtual assistant contractors engaged through our platform; all communications, inquiries, support requests, and messages submitted to us through any channel; profile photographs, biographical summaries, professional portfolios, and other personal materials voluntarily provided; responses to skills assessments, evaluations, screening questionnaires, and interview materials; and acknowledgments of and agreements to our Terms of Service, independent contractor agreements, non-disclosure agreements, and any other executed contracts.

With respect to communications, we use your information to respond to your inquiries, requests, and customer support issues in a timely and effective manner; to send transactional and administrative messages including service updates, account notifications, contract-related correspondence, and other communications necessary to the performance of our obligations to you; to send marketing and promotional communications regarding our services, industry news, and business updates, solely where you have provided consent to receive such communications or where such communications are permitted under applicable law; to send SMS and text message communications for appointment confirmations, platform notifications, interview reminders, and other service-related updates, solely where you have explicitly opted in to receive such messages; and to conduct satisfaction surveys, feedback collection, performance evaluations, and other communications intended to improve the quality of our Services.

All processing of personal information by Prestige VA Solutions is conducted pursuant to one or more recognized legal bases. 6. Data Retention
Prestige VA Solutions retains personal information for as long as reasonably necessary to fulfill the purposes for which it was collected, to comply with our legal, regulatory, tax, and accounting obligations, to resolve disputes, and to enforce our agreements. Specific retention periods vary based on the nature of the information and the relationship. Client and contractor business records, including contracts, invoices, payroll records, and tax documentation, are retained for a minimum period of seven (7) years following the termination of the business relationship, consistent with federal and state tax and employment recordkeeping requirements. Job application materials, assessment results, and related correspondence pertaining to candidates who were not hired are retained for up to two (2) years following the conclusion of the recruitment process, after which such records are securely deleted or anonymized. Marketing consent records and communication preference logs are retained for a period of three (3) years to demonstrate compliance with applicable anti-spam and marketing regulations. Website server logs and analytics data are retained for a period of up to twelve (12) months. Upon the expiration of applicable retention periods, personal information is either securely and permanently deleted, anonymized such that it can no longer be associated with any identifiable individual, or archived in a manner that restricts further access and use.
